Everything the short page leaves out.
The full answer, what you get per item, the offer, what we won't do, who the pilot fits, the terms, and the questions people ask.
The three-outcome answer
Within 72 hours of our written confirmation that your records are complete, you receive one of three answers for the bill you added. Each one states the scope we covered, the sources we used, the limits of what the records can show, and the next action.
The records support a refund basis. You see the amount to the cent, the records that support it, what it means, and the exact next step if you choose to pursue it.
The charge is supported by the records you supplied. We say why. The question is closed and nothing is owed to us.
The records cannot decide it. We name the specific record that would, and you choose whether to find it.
A "holds" answer is a kept promise, not a failure. Owners who get one and then send a second bill are the signal we watch for most closely.
What you get, per item
- Examined. The records we looked at, named, with their dates.
- Noticed. What stood out, in plain words.
- Supports it. The specific records that bear on the finding, and how.
- What it means. Whether the records support a refund basis, hold up the charge, or leave it open. Goodwill and future savings are reported separately and never counted as money owed to you.
- What happens next. Your choice: Pursue, Not now, or I'll handle it. For anything you pursue, the exact message we would send, for you to read before it goes.
The offer, in four rungs
| Rung | What it is | Price | Status today |
|---|---|---|---|
| Cross-Check | One bill. A bounded 72-hour cross-check. A documented three-outcome answer. | Free | Runs today, by hand |
| Recovery | Pursuit of the documented-entitlement claims you select on a written schedule, through to receipt or credit applied. | 30% of what is recovered, on receipt | Runs today, by hand. Refund Office is its screen |
| Watch | An agent checks every bill as it arrives and tells you when nothing needs you. | Not set | Direction only. Not offered |
| Records | Clean, GL-coded exports of what we examined, for your bookkeeper. | Not set | Proposal |
The first two rungs are the pilot. The last two are where we intend to go, and we say so rather than sell them.
What we won't do
- Move funds, make payments, or change bank details.
- Cancel services, amend contracts, or initiate chargebacks.
- Accept a settlement on your behalf.
- Contact a vendor, utility or agency without your written approval of the exact message.
- Report goodwill or future savings as money owed.
- Replace your bookkeeper, your accountant, or your accounting software.
- Give advice on switching energy suppliers. Tariff, classification and tax questions go to a separately approved specialist.
- Keep your records longer than the engagement requires, or share them with anyone outside it.
Who the pilot fits
- You own or operate a small multifamily or mixed-use portfolio. Brooklyn first.
- You sign for the entity that paid the bill, or can bring the person who does.
- The bills in question run at least $5,000 a month.
- You have at least 12 months of them, or can get them.
- There is no open dispute, complaint or proceeding on the item.
- You want to stay the approver. We are not looking for owners who want to hand over the keys.
If you fit most of this and not all, write anyway. The first conversation costs nothing.
Pricing, in full
- The cross-check is free. The 72-hour clock starts when we confirm in writing that the records are complete.
- The fee is 30% of the gross amount recovered. You keep 70%.
- The fee is earned when a refund is received by your entity, or when a credit is applied to a bill you actually owed. Not before.
- A vendor's written promise earns nothing. It starts tracking.
- The fee applies only to claims you authorize in writing on a claim schedule, within a claim-specific tail set in the engagement agreement.
- If money is later taken back, the fee on that amount is returned.
- Future savings are reported, not charged.
- Refunds go to your entity, never through us.
- No recovery, no fee.
The engagement agreement governs fee timing and covered findings. Nothing on this page is an offer until it is signed.
Three names, one job
| Name | What it is | Where you meet it |
|---|---|---|
| Billigence | The owner's intelligence desk. One screen for the portfolio. | The product you open |
| Refund Office | The recovery tab inside Billigence. | The tab where you add a bill and approve a pursuit |
| Return Desk | The recovery engine and service brand behind it. A Matchup Labs service that also works for owners who never use Billigence. | The sender on every approval card and claim letter: "Return Desk (Matchup Labs), for your entity" |
The recovery tab's name is a working name during the pilot.
Questions people ask
- Are you accountants or attorneys?
- No. This is a cross-check of one bill against the records that should explain it. We do not attest to anything. Your accountant prepares any filing the result calls for, and your counsel is yours.
- Do you need access to my bank or my property-management software?
- Not for the pilot. You send the bill and the records we name. Read-only connections are not part of the pilot.
- What if you find nothing?
- You get a documented "the charge holds" answer, and you pay nothing. That answer closes the question. Many owners send a second bill afterward; that is fine with us.
- Who contacts the vendor?
- Return Desk (Matchup Labs), in your entity's name, after you have read and approved the exact message. Never before.
- When is the fee due?
- When a refund reaches your entity, or a credit is applied to a bill you actually owed. A vendor's promise is not a receipt.
- How long does a recovery take?
- We do not promise a vendor's response time or when money arrives. We pursue the claim and show you its state at every step.
- Is Billigence available to me?
- Billigence is in pilot preview with one owner. Refund Office is designed and not yet built. If you want the desk for your portfolio, start a conversation. The recovery cross-check is available now, by hand.
- Who is behind this?
- Matchup Labs, Brooklyn. We build governed digital workforces: systems with declared outcomes, approval gates on anything irreversible, and verifiable completion.
